Using group by the field in MS Project Pro

First tool. Steps to set the filter on the field in MS Project Pro:

  1. Click on triangle in right part of the field title.
  2. Click the "Group by" item.
  3. If the field has unique values, the system has grouped all rows by those values.
  4. If the field is date type, the system will prompt for the period format.
  5. If the field has non-unique values, the system has shown all groups.
  6. Click the "Ok" button.

You can unset the group by clicking the "No Group" item.

Using system groups in MS Project Pro

You can use MS Project Pro system groups. Steps to use system groups in MS Project Pro:

  1. Click "View" the item in the top menu.
  2. Open the "Group" field in the "Data" block.
  3. Select a group from the list. Tasks have their own list of groups, while resources have their own.
  4. You can unset group by clicking the "Clear Group" button.
  5. You can creat a new group by clicking the "New Group By ..." button.
  6. You can see the full list of groups by clicking the "More Groups ..." button.
  7. You can show or hide the summary tasks by clicking the "Maintain Hierarchy in Current Group" button.

Steps to use full list of filter nin MS Project Pro:

  1. Click "View" the item in the top menu.
  2. Open the "Group" field in the "Data" block.
  3. Click the "More Groups ..." item.
  4. Select the element type in the "Group:" block.
  5. Select a group from the list in the "More Groups" window.
  6. Click the "Apply" button.

Creating a new group in MS Project Pro

You can create a new group in MS Project Pro. A new filter can be created for tasks or resources.

Steps the create a new group in MS Project Pro:

  1. Click "View" the item in the top menu.
  2. Open the "Group" field in the "Data" block.
  3. Click the "More Groups ..." item.
  4. Select a element type in the "Group:" block. Tasks have their own list of groups, while resources have their own.
  5. You can creat a new empty group by clicking the "New ..." button.
  6. To create a new group based on an existing one, select the group and click the "Copy ..." button.
  7. To  edit the group, select the group and click the "Edit ..." button.

Steps to describe the group in MS Project Pro:

  • Enter the group name in the "Name:" field.
  • If you want to show this group in the menu, click the "Show in menu" box.
  • Select field names in the "Field Name" column.
  • Set the order in the "Order" field.
  • If you want to group by assignments by clicking the "Group assignments, not tasks" box. After that you can select the field type for grouping in the "Field Type" field.
  • You can change the group row font by clicking the "Font ..." button.
  • You can set the background color for the group rows in the "Cell background:" field.
  • You can set the background pattern for the group rows in the "Pattern:" field.
  • For number field you can set group intervals by clicking the "Define Group Intervals ..." button.
  • If you want to show or hide summary tasks for grouped tasks by clicking the "Show summary tasks" box.
  • If you want to show or hide maintain hierarchy by clicking the "Maintain hierarchy" box.
  • Click the "Save" button.
