Setting up the resource request in MS Project Server

In MS Project Server, you can assign corporate resources to projects on demand. But first, you need to configure the resources that are allocated on demand. To configure resources, you need to:

  1. Go to the server in MS Project Server.
  2. Go to the corporate resource pool and select the resource to configure. Click on the “Resources” link.
  3. Select the resource and open it for editing. Click on the “Edit” button in the top menu “Resources”.
  4. In the resource settings, select “Resource requires approval for all project assignments”.
  5. In the “Default Booking Type:” field, set the value to “Committed
  6. In the “Default Assignment Owner:” field, set the resource owner.

Add a new resource request in MS Project Pro

A project manager in MS Project Pro can request company resources from the owner. To do this, you need to:

  1. Log in to MS Project Pro with server access.
  2. Add the requested resource from the corporate pool to the resource list.
  3. Assign the selected resource to tasks.
  4. Go to the “Resource Plan” view.
  5. A yellow diamond will mark the resource that requires approval. Select it and view the start and end dates of the assignment in the “Start” and ‘End’ fields. Also, pay attention to the labor costs, which are indicated in the “Labor Costs” column.
  6. Go to the “Engagements” menu item and click the “Add Engagement” button.
  7. In the window that opens, select a resource in the “Resource” field. Enter a description in the “Description” field.
  8. In the “Start” field, specify the date from which the resources will be available, and in the “Finish” field, specify the date until which the resource is needed.
  9. In the “Units” field, specify the required percentage of resource participation. In the “Work” field, specify the required hours of engagement.
  10. In the “Comments” field, you can specify additional information.
  11. Click “OK”.
  12. Submit the request by clicking one of the “Submits” buttons in the “Submit All Engagements” menu.

Accept a new resource request in MS Project Server

The resource owner can review resource requests on the server. To do this, the resource owner must:

  1. Go to the MS Project Server.
  2. Go to “Resources.” Go to the top menu item "Resources".
  3. Сlick on the “Resource Requests” button.
  4. Review resource requests. By checking the box next to a request, you can edit it by clicking the “Edit Assignment” button.
  5. Reject by clicking the "Reject" button
  6. Aaccept by clicking the “Accept” button.

The resource owner can allocate the resource for the project themselves. To do this, you need to:

  1. Go to the MS Project Server.
  2. Go to the “Resources” section.
  3. Go to the “Resource Request” menu item and click the “Add Engagement” button.
  4. In the window that opens, select a resource in the “Resource” field.
  5. Select the project for which you are allocating the resource in the "Project" field.
  6. Enter a description in the “Description” field.
  7. In the “Start” field, specify the date from which the resources will be available, and in the “Finish” field, specify the date until which the resource is needed.
  8. In the “Units” field, specify the required percentage of resource participation. In the “Work” field, specify the required hours of engagement.
  9. In the “Comments” field, you can specify additional information.
