Fixing a quantitative risk assessment in custom column in MS Project Pro

You can describe the level of risk of a project task using a numerical scale from 1 to 10. Where the value 1 means the minimum risk level and 10 the maximum risk level.

Steps to ass custom column for quantitative risk assessment in MS Project Pro:

  1. Click the "Project" item in the top menu.
  2. Click the "Custom Fields" button in the "Properties" group.
  3. Click the "Task" in the "Field" block.
  4. Select the "Number" in the "Type:" field.
  5. Click the "Rename ..." button and enter the name of new column in the opened window. (For example "Risk level")
  6. Set the "Maximum" in the "Rollup:" field in the "Calculation for task and group summary rows" block.
  7. Click the "Roll down unless manually entered" in the "Calculation for assignment rows" block. 
  8. Click the "Ok" button.

Adding a risk quantification graphic indicator in MS Project Pro

You can use this custom column to display risk level graphical indicators.

Steps to create a risk quantification graphic indicator in MS Project Pro:

  1. Click the “Project” item in the top menu.
  2. Click the “Custom Field” button in the “Properties” block.
  3. Set the “Task” in the block field.
  4. Select the “Number” in the “Type:” field.
  5. Click the "Rename ..." button and enter the name of new column in the opened window. (For example "Gr risk level")
  6. Add the formula:
    1. Click the “Formula …” button.
    2. Click the “Field” button in the “Formula for “Gr risk level” window.
    3. Select the “Risk level” field.
    4. Click the “Ok” button.
  7. Set the calculation for task and summary group by click the “Use formula” box.
  8. Click the "Graphical indecators ..." button.
  9. Select the rule in the "Test for "Gr risk level" field. Rules are checked from top to bottom
  10. Set the rule value in the "Value(s)" field.
  11. Set the image in the "Image" field.
  12. You can set:
    • "is less then" - 3.00 - gren
    • "is less then" - 6.00 - yellow
    • "is less then" - 10.00 - blue
    • "is greater than or equal to" - 10.00 - red
  13. If you want to show costume field value, click the "Show data values in ToolTips" box.
  14. You can set the other rules for the summary rows:
    1. Click the "Summary rows" box.
    2. You can use nonsummary rules, click the "Summary rows inherit criteria from nonsummary rows" box.
    3. Or you can set unique rules.
  15. You can set the other rules for the project summary rows:
    1. Click the "Project summary" box.
    2. You can use nonsummary rules, click the "Project summary rows inherit criteria from summary rows" box.
    3. Or you can set unique rules.
  16. Click the “Ok” button in the "Graphical Indicators for "Gr risk level" window.
  17. Click the “Ok” button
